What's New?
3sysACADEMIC Version 5.1.0 provides the following new enhancements. For more details, see the 3sysACADEMIC Version 5.1.0 Release Notes, available for download from the Customer Centre:
- 3sysACADEMIC Online Help Updates:
- The Modules > Pastoral Management section has been developed to include information about enhancements included in version 5.0.2 and 5.1.0.
- Pastoral Management Dashboard:
- Clicking on a grid heading allows users to sort data in ascending or descending order.
- Grids now include a Last Modified By column.
- Pastoral Management Configuration:
- 'Record Types' have been renamed 'Record Reasons'. This affects the following screens / functions:
- Pastoral Management Dashboard Options - Now include a Record Reason option.
- Pastoral Management Configuration - Record reasons must now be configured instead of record types.
- Adding Pastoral Management Records - New records must be assigned a record reason instead of a record type.
- Searching Pastoral Management Records - Users can now filter records by record reason.
- Existing Pastoral Management Records - Record types in existing records have been re-labelled record reasons.
- A new search field has been added so that users can search by record reason.
- 'Record Types' have been renamed 'Record Reasons'. This affects the following screens / functions:

Pastoral Management Record Search:
- A new Remember Search check box is now available on the Pastoral Record Search screen, enabling you to save criteria and re-run a search.
- Search result grids now include details of who last modified the record(s).
- GIRFEC Pastoral Management Forms:
- (Scottish Schools Only) When saving a GIRFEC form, a new warning message appears if it contains errors, such as missing data.
- Pastoral Record Notes Search:
- A new Reset button has been added to the search options used when finding pastoral record notes, enabling users to clear all previously added criteria simultaneously.
- It is now possible to sort the notes attached to a pastoral management record chronologically in descending or ascending order using the new Sort Ascending or Sort Descending buttons.
- Managing Pastoral Record Notes:
- When creating a note, any staff who do not already have access to the associated pastoral record will be given access to it automatically. A popup message appears when the note is saved asking the user to confirm that the staff not already cited in the parent record should be added to it.
- Views:
- Ten ODBC views have been added to allow authorised users to generate reports containing pastoral data.

- Help and Support:
- The 3sysACADEMIC Getting Started User Guide and Pastoral Management User Guide PDF files have been updated.

- Pastoral Management Module:
- Users with the relevant profile permissions are now able to delete pastoral records.
- When creating a new pastoral record, users can now give it ANY Pastoral Management category configured on the system. Specific users have access to records in particular categories, so this is a way of ensuring that only relevant staff can see sensitive data. Each new record can be seen by the person who created it and the people linked to the record's category.
Note: Known issues have also been corrected; for details of these refer to the 3sysACADEMIC Version 5.0.1 Release Notes. (Release Version 5.0.1 provides updated automatic enrolment functionality within passFINANCE/schoolADMIN and significant enhancements to WCBS schoolPORTAL.)
3sysACADEMIC Version 5.0.0 provides the following new enhancements. For more details, see the 3sysACADEMIC Version 5.0.0 Release Notes, available for download from the Customer Centre:
- passFINANCE/schoolADMIN - On the Subject Set Maintenance screen’s Main tab, the Nova-T Code field has been renamed the Timetable Code field. This field should be used as before, to enter the code used for the subject set in your external examination.

Attendance:
- Users can now swipe across a pupil’s name to record their attendance. This can be done with a mouse OR by hand on a tablet.

A new widget has been introduced to show a summary of attendance. The widget draws on logged attendance records and displays the data as a pie chart, with each labelled and colour-coded ‘slice’ representing an attendance category.

Markbooks:
- The Markbooks widget has been given a new look in version 5.0.0. The information and functionality is the same as that provided through the previous widget. As before, the widget shows a chart of completed and outstanding marks and allows users to access a grid with more details by clicking on the chart or Details.

The Mark Inquiry and the Mark Entry screens now include a Maximize/Minimize button, which enables you to expand the data displayed in the grid.
- Navigation - A new Mega Menu system has been introduced to make finding your way around 3sysACADEMIC easier. This replaces tab sets and the All Functions screen. The following headings now appear across the top of every screen, ensuring easy access to different parts of the software:
Pupil Management, incorporating Pupil Records, SEN and Pupil Groups.
Pastoral / Behaviour, including Pastoral Management, Pupil Events and Reports.
Academic Management, covering Markbooks, School Reports, Baselines and Exams.
Staff, including Staff, Staff Cover and Staff Custom Groups.
Calendar / Attendance, encompassing Attendance, Calendars and Rooms.
Communication, including Email / Notifications and Data / Reporting.

Pastoral Management - A new Pastoral Management module, incorporating Getting It Right For Every Child (GIRFEC) requirements for schools in Scotland, has been introduced.
- School Reports - The School Reports widget has been given a new look in version 5.0.0. The information and functionality is the same as that provided through the previous widget, but the new look aims to provide clarity. As before, the widget shows a pie chart of completed and outstanding reports and allows users to access a grid with more details by clicking on the chart or Details.

Version Number - Users can now see the version number for the software they are using at the top of any screen in 3sysACADEMIC. The number appears under the school drop list.
